The Vehicle Management System is a complete custom application built in Frappe ERPNext to manage daily vehicle operations in a structured and automated way. The system is designed to handle vehicle requests, vehicle assignments, driver management, vehicle records, payroll processing, salary slips, KM tracking, and management reports.

The app includes a Vehicle Request module where employees or departments can raise vehicle requests for different purposes such as local travel, outstation travel, airport pickup/drop, client meetings, office work, vendor visits, training, or other official requirements. Each request can include details like employee name, request type, journey date, from location, to location, purpose, and request status.

A Vehicle Assignment module has been implemented to assign vehicles and drivers against approved requests. The system supports both individual vehicle assignment and bulk vehicle assignment, which helps the admin assign multiple vehicles and drivers quickly for multiple requests. Assignment details include request reference, employee, assigned vehicle, assigned driver, from date, to date, and current status such as assigned, ongoing, completed, cancelled, or pending.

The system also manages Vehicle Details and Driver Details. Vehicle records include vehicle number, model, vehicle type, fuel type, insurance validity, RC validity, assigned driver, and current status. Driver records include driver name, license number, mobile number, experience, salary type, and active/inactive status. Document alerts can be used to track upcoming expiry dates for insurance, RC, and driver licenses.

A Payroll and Salary Slip section has also been designed for drivers. Admin users can process monthly driver payroll, generate salary slips, and track salary components such as basic salary, allowances, overtime, deductions, total earnings, total deductions, and net pay. Payroll batches can be created month-wise, and salary slips can be generated for individual drivers.

The app includes KM Tracking to record and analyze kilometers driven by vehicles or specific employees. This helps the organization understand travel usage, employee-wise vehicle usage, total KM driven, number of trips, and average KM per trip.

The Reports and Analytics section provides useful insights into vehicle operations. Reports include salary paid reports, driver-wise salary distribution, KM driven by employee, top KM driven employees, assignment reports, vehicle usage reports, and time-series analysis. Filters like report type, time series, from date, to date, and employee help users view specific data as per requirement.

Overall, the Vehicle Management System provides a centralized platform for managing vehicle requests, vehicle assignments, bulk assignment, vehicle records, driver records, payroll, salary slips, KM tracking, and analytical reports inside Frappe ERPNext.
